For summits, masterminds, conferences and live events

Check-in, submissions and certificates. One system.

Your ticketing tool sells the seats. This runs everything after.

Your tickets stay where they are. I build the rest around them: the attendee area, submissions and reviews, a check-in app for the door, a live numbers panel, certificates in batch and the report you show sponsors afterwards.

  • Works around your ticketing platform
  • No app to install
  • You own the data

The usual event

The ticket sale is automated. Everything after it isn't.

Ticketing platforms are good at selling seats. They stop at the door. Submissions, check-in, certificates and the numbers for sponsors end up in email threads and spreadsheets.

at the door

Check-in is a printed list.

A line at 7:30am, names that don't match the export, and no idea who is in the room.

before the event

Submissions live in the inbox.

Papers, applications or pitches arrive by email. Reviews happen in a spreadsheet nobody trusts.

after the event

Nobody has the final numbers.

Certificates go out weeks later. Sponsors ask for results and someone builds slides by hand.

What I build

Pick the pieces your event needs.

These are the modules I built for the symposium below. Most events need three or four of them, not all.

  1. Attendee area

Each registered person logs in to see their registration and submissions. Synced with the ticketing platform, even when it has no API.

  2. Submissions and reviews

Papers, posters or applications uploaded by the author, gated by payment. Reviewers get their own panel; the committee sees status in real time.

  3. Check-in app

Runs in the browser on any phone. Search by name (accents and partial names work) or scan a QR, synced across every device at the door, protected against double taps.

  4. Live numbers panel

Who has arrived, day by day, for the organizers while the event is running.

  5. Certificates in batch

Generated from real attendance and emailed to each person.

  6. Survey and report

Post-event survey, then an executive report with attendance, content, satisfaction and reach, ready to send to sponsors and partners.

September 2026

A three-day scientific symposium, 443 people through the door.

Agricultural science symposium · Brazil · 3 days, including a field day

Tickets and payments ran on the organizer's ticketing platform, which had no API. I built everything around it: submissions gated by payment, the reviewers' panel, the attendee area, the check-in app, the live numbers panel, certificates and the executive report.

One thing the data showed: 96.6% of check-ins were done by name search, not QR. Almost nobody pulled up a code at the door, so the name search is what has to be fast: it ignores accents and matches partial names.

Process

Written, async, and priced before we start.

No need to block an hour for a discovery call. Everything is in writing, so you can reply between sessions. If you'd rather talk, we can, with an agenda sent ahead.

  1. Tell me what's manual

Five short questions, or a 2-minute screen recording of how it works today.

  2. Written scope in 24h

What gets built, the timeline and one fixed price.

  3. First milestone

50% to start. On Upwork it sits in escrow.

  4. Build, with updates

A short written update and screen video every two days.

  5. Handover

Running in your accounts, with docs, a walkthrough video and fixes included.

Questions

Before you ask.

We already use Eventbrite (or another tool). Do we switch?

No. Tickets stay where they are. I sync the attendee list from it, through its API or, if there isn't one, from its exports.

Do attendees need to install anything?

No. The attendee area and the check-in app run in the browser. Your staff at the door only need a phone.

How early do we need to start?

Four weeks is comfortable for the full platform. Check-in alone can be ready in about a week.

Who owns the attendee data?

You do. It lives in a database in your account, and nothing is shared or reused.
